Publicly Available Statements, Policies, and Procedures

According to ISO 14065:2013, ESI policies and procedures as they relate to our GHG validation/verification services, shall be made publicly available. The following policies and descriptions are the most current and will be amended as appropriate:

Impartiality and Conflict of Interest 

ESI recognizes the importance of maintaining and implementing a policy on impartiality and conflict of interest. Our processes ensure that project decisions are based upon objective evidence obtained through science and the work process, with appropriate safeguards to prevent inappropriate influence by other interests or third parties. Our processes are designed to ensure independence, impartiality, and avoidance of potential conflicts of interest, prior to engaging in contractual obligations leading to validation/verification assignments.

The principals of ESI require, and the ESI project managers ensure compliance with the impartiality commitment and conflict of interest procedures. Further, ESI’s Forest Management Division (GHG validation and verification services) does not and will not attempt to contract forest management/consulting services on parcels on which we seek to be validators/verifiers, and will not attempt to seek validator/verifier status on projects where we perform, or are under contract to perform forest management/consultant services. ESI shall not validate and verify GHG assertions from the same GHG project unless allowed by the applicable GHG program. All clients are made aware of the ESI Impartiality and Conflict of Interest policy and procedures, by reference to the policy within our proposal/contract.

Confidentiality

Confidentiality is a cornerstone of our client relationships. As part of our commitment to client-focused service, ESI maintains strict confidentiality of client-associated information. This includes safeguarding all information obtained or created during interactions with the client. ESI staff does not disclose information regarding a client that is not already public, without the express consent of the client, and uses appropriate equipment and facilities to reasonably ensure the secure handling of confidential information. ESI reserves the right to responsibly utilize and disseminate information or work products as necessary and required to satisfy industry accreditation, certification, audit or surveillance requests, or when legally compelled. ESI maintains the appropriate facilities, resources, processes, and technologies to ensure the secure handling of all confidential information. All clients are made aware of the ESI Confidentiality policy by reference to the policy within our proposal/contract.

Client Complaints, Disputes, and Appeals

ESI encourages feedback from clients in any aspect of the working relationship with ESI whether this in the form of a complaint, dispute, appeal, or a compliment. Complaints, disputes and appeals will be taken seriously and dealt with confidentiality, and results in no discriminatory actions against the appellant.

The complaints, disputes, or appeals will be fairly investigated, a resolution sought in a timely manner, and its outcome communicated to the complainant. All clients are made aware of the ESI Client Complaints, Disputes, and Appeals process and procedures, by reference to the policy within our terms section of all proposals. ESI will use the information provided by complainants to support continuous quality improvement and compliments will be used as a measure of ESI’s success in meeting client expectations.

Policy Governing Client Statements Regarding Validation/Verification Activities

ESI maintains a policy for each of the GHG protocols in which we are approved 3rd-party validators/verifiers, relating to the statements our clients can make regarding the status of their validation/verification project. When the use of validation/verification status statements are governed by the specific GHG program, ESI incorporates those criteria into their policy. The client is notified of our policy within our proposal/contract.


(The following is as of 2011 - we will update this information soon.) There are only 20 ANSI accredited (ISO 14065:2013) validation and verification bodies total globally. In addition, ESI is one of five companies that is accredited by ANSI for validation and verification of assertions related to GHG emissions reductions and removals at the project level for the Land Use and Forestry (Group 3).

Through our ANSI accreditation, ESI is authorized to conduct third-party GHG project validations/verifications for seven GHG programs, which establish ESI as a leader in the environmental field. These GHG programs include: Climate Action Registry (CAR), CarbonFix (CFS), American Carbon Registry (ACR), Verified Carbon Standard (VCS), Chicago Climate Exchange (CCX), Climate, Community and Biodiversity Alliance (CCBA), and Pacific Carbon Trust (PCT).
